Create a job whenever work needs to be done in the field, like a haul, a service call, or maintenance.
To create a job:
- Go to the Jobs or Schedule tab and click + New job. In the app, tap the + on the Jobs screen.
- For Service Providers: select the client. If they're not in the list, click Manage clients to create them or invite them. See Clients.
- Choose a priority using the icons at the top:
- New (circle): the default
- Normal (line)
- High priority (flag)
- Deferred (moon)
- Filler (alarm clock)
- Fill in each part of the form:
- Who's it for: the Division, the Requester (the person asking for the work), and any Followers who should get updates. For Service Providers: on guest client jobs, you can create a new requester here. See Guest Requesters.
- What needs to be done: choose the Resource type first. Activity and Assign to become available once you do. If you have permission, you can assign the job to a service provider or a specific resource.
- Where from/to?: choose the destination, then click Pickup location to add where the work starts. Add the item and quantity being moved at each pickup. If a location isn't in the list, you can add it here.
- When?: set the Start and End date and time.
- Details: add the Cost center and any Additional details (optional). If the location has a cost center, it fills in automatically.
- Click Save.
Tip: To create several copies of the same job, click the calendar icon next to When? before saving.
Good to know:
- Once a job is assigned to a specific resource or user, other people at that service provider won't see it in their job lists.
- For Service Providers: you can only add locations for clients you created yourself, or for connected clients who approve you to request jobs.
Recurring jobs
To create several copies of the same job, such as a haul that happens every day this week:
- Start creating the job as usual.
- Click the calendar icon next to When?
- Choose how many jobs to create and when.
- Click Save.
Each copy is its own job. To change several at once, select them and click Update [number] jobs. Recurring jobs can only be created on the web.
Cloning a job
To create a job that's similar to one you've already done:
- Open the job you want to copy.
- Scroll to the bottom and click the three dots (...), then Clone.
- Update anything that's different, then click Save.
Most of the job's details are copied over, so it's quicker than starting from scratch.
Split loads (one pickup, several drop-offs)
Each job can have more than one pickup, but only one drop-off. If one load is being split across several drop-offs, create a separate job for each drop-off, using the same pickup location.
Tip: Create the first job, then use Clone to copy it for each additional drop-off. Just change the destination and quantity on each copy.
Editing a job
- Open the job and click Edit.
- Make your changes, such as locations, dates, forms, or line items.
- Click Save.
You can't edit an approved job. It has to be unapproved first.
Canceling a job (Energy Producers)
If a job was created by mistake or is no longer needed, cancel it. It stays in IronSight for your records.
- Open the job. You can cancel jobs that are Requested, Scheduled, or Active.
- Scroll to the bottom and click the three dots (...).
- Click Mark as Cancelled.
The job moves to the Canceled bucket. Canceled jobs can't be edited, but they can be reopened or archived.
Reopening a job (Energy Producer admins)
- Find and open the job. Searching the job number is quickest.
- Scroll to the bottom and click the three dots (...), then Reopen.
If the job is approved, click the three dots → Unapprove first, then the three dots → Reopen.
Archiving Jobs
Archiving hides a job from everyone's job lists, including on mobile, without deleting it. Use it to clear out jobs you no longer need to see, like test jobs or jobs created by mistake.
To archive one job:
- Open the job.
- Scroll to the bottom and click the three dots (...), then Archive.
To archive several jobs:
- In the Jobs tab, check the box next to each job.
- Click Update [number] jobs, then Archive.
To find or restore an archived job:
- In the Jobs tab, click the Archived group.
- Open the job and click Unarchive.
Good to know:
- The Archived group shows the past three months by default. To find older jobs, change the date range (up to one year).
- For Service Providers: you can only archive jobs for clients who don't use IronSight themselves.
